Event Coordinator Administrative Mountain View, CA - Hybrid/On-site This role requires the employee to be on-site for all events with additional hybrid work arrangements for administrative tasks. Job Description We are seeking a dynamic Event Coordinator to join our team and support the execution of global end-to-end programs and events. In this role, you will be the backbone of our event operations, managing everything from logistics and budget oversight to vendor coordination and on-site event management. You'll have the opportunity to work on high-impact events that connect our organization with clients, partners, and employees worldwide. You'll collaborate closely with cross-functional teams including Workplace services, Business Operations, and senior management while taking ownership of critical event elements that directly impact our company's success and brand reputation. Duties and Responsibilities Provide comprehensive event support and execution for global programs including logistics coordination and onsite quality event management Manage host and attendee coordination for all assigned events Oversee project budgets including vendor approval processes and expense tracking Research and evaluate event production elements including venues, catering, and promotional materials Coordinate with Business Operations team to process invoices and maintain budget adherence Prepare and organize materials for on-site events including signage, promotional items, and gift packaging Partner with Workplace team to arrange catering, facilities requests, and meeting space bookings Manage vendor relationships from onboarding through event completion including security access coordination Create comprehensive end-to-end documentation for new event launches including project plans and budget templates Facilitate effective communication between internal and external partners Schedule multi-speaker events, rehearsals, production walkthroughs, and staff briefings Provide on-site administrative support and assist with volunteer coordination during events Support crew meal coordination and vendor load-in/load-out management Required Experience/Skills 4-8 years of event coordination experience in corporate or professional settings Proficiency with Google products, Zoom, and Outlook Strong understanding of corporate payment processing including purchase orders and invoicing Excellent administrative skills including presentation deck creation and meeting documentation Experience with catering coordination and workplace/facilities services Demonstrated ability to work independently with vendors and external partners Strong time management and prioritization skills with ability to execute against tight deliverables Proven ability to multitask effectively in high-energy, fast-paced environments Independent problem-solving capabilities and critical thinking skills Excellent communication skills across all organizational levels including senior management Team collaboration experience with diverse stakeholders including clients and relationship managers Positive attitude with commitment to tackling any task necessary for success Experience with basic virtual event platforms and coordination Nice-to-Haves Personal interest in corporate event management and hospitality industry Experience with additional project management software and tools Background in budget management and financial tracking systems Experience working in technology or FinTech company environments Knowledge of promotional product sourcing and management Familiarity with audio/visual equipment and event technology setup Education Bachelor's degree preferred or equivalent professional experience in event management or related field.
