We are seeking an organized and responsible Office Administrator/Executive Assistant for a privately held real estate investment firm based in Beverly Hills (Los Angeles, CA). This role is great for someone who wants to work with our team in a friendly, low stress environment and has the ability to take on a key administrative role. Organization, time management, and strong communication skills will be key success factors in performing well in this position.

Requirements:

  • 1-3 years of office experience, administrative assistant experience preferred
  • Ability to build and maintain relationships with key players and management
  • Proven track record in taking pride in work and delivering results with care
  • Proactive team player with a can-do attitude
  • Perform duties with the highest level of confidentiality and integrity
  • Strong written and verbal communication skills
  • Highly organized with strong attention to detail
  • Ability to multi-task and prioritize competing tasks and deadlines
  • An autonomous worker with strong follow-through skills

Responsibilities:

  • Provide administrative support to the operations of a small in-office team
  • Function as the face of the office, welcoming visitors and maintaining a positive and professional image for the firm
  • Coordinate and ensure neat appearance of the reception area and conference rooms.
  • Manage meeting room calendars and set up conference room Zooms and dial-ins for meetings
  • Serve as point of contact for vendors and building management/security
  • Arrange and coordinate food and beverages for meetings, including set-up and clean-up
  • Order and maintain office and kitchen/break room supplies
  • Receive and send packages along with sorting and distribution of all mail.
  • Monitor office frequently throughout the day to ensure everything is in working order, clean and presentable.
  • Assist with planning and coordinating office and team events.
  • Provide assistance for the executive team, including travel and calendar maintenance
  • Assist with other tasks and projects as needed

Schedule: 9AM - 5PM PT

Compensation: $70-80K, full benefits, 401K matching, bonus eligibility

Location: Beverly Hills, CA (Fully In-Person)
