The Sales Operations Administrative Assistant provides essential administrative, operational, and data-management support to the Director of Development and the revenue organization. This role ensures the smooth functioning of sales workflowsâfrom CRM data accuracy and reporting, to pipeline organization, documentation, and cross-team coordination.
You will manage and maintain sales systems (CRM, lead databases, reporting dashboards), assist with internal and external stakeholder communications, prepare revenue performance reports, and support operational processes tied to onboarding new clients, managing leads from partners, and keeping all sales information organized and actionable.
The ideal candidate is highly organized, tech-savvy, detail-obsessed, and comfortable supporting a busy leader who owns sales strategy, partnerships, and business development initiatives.
Maintain accurate CRM data, including leads, opportunities, contacts, and deal stages.
Ensure timely cleanup and updating of sales records across all systems.
Track inbound and partner-generated leads, ensuring proper categorization and follow-through.
Assist in preparing weekly, monthly, and quarterly sales performance dashboards.
Support reporting on pipeline movement, win/loss trends, productivity metrics, and sales KPIs.
Help consolidate and organize external lead lists, partner submissions, and sales assets.
Assist with the coordination and documentation of sales processes, SOPs, and internal workflows.
Support sales enablement tasks such as updating slides, assembling sales decks, organizing playbooks, and preparing resource folders for the team.
Help coordinate handoffs between marketing, sales, and client onboarding teams.
Manage document version control for proposals, contracts, and sales materials.
Track completion of new-client onboarding tasks and ensure required forms, information, and documents are received.
Manage calendars, schedule sales calls, demos, onboarding sessions, and internal meetings.
Assist the Director of Development with inbox organization, follow-up tracking, and reminders related to sales actions.
Prepare summaries, notes, and documentation following internal and external sales meetings.
Support communication with prospects, partners, and vendors as needed.
Provide administrative assistance for revenue initiatives, special projects, and cross-department collaborations.
Support the organization and maintenance of internal training materials for the sales team.
Assist in refining SOPs by documenting processes, updating resources, and ensuring accessibility.
Manage internal folder structures, naming conventions, and documentation repositories.
Track completion of internal training tasks for new sales hires or contractors.
Associateâs or bachelorâs degree in business administration, sales operations, project management, or related field preferred
1â3 years of experience in sales support, sales operations, CRM management, or administrative roles
Experience with CRM platforms (HubSpot, Salesforce, Pipedrive, or similar)
Strong proficiency in Google Sheets, spreadsheets, and data tracking
Excellent organizational and administrative capabilities
Strong communication skills, both written and verbal
High level of discretion and trustworthiness with sensitive revenue data
Ability to manage multiple tasks with tight deadlines
Tech-savvy, process-driven, and eager to support a high-growth sales organization
Experience in a fast-paced, high-volume sales or agency environment
Familiarity with headhunter workflows, partnership lead management, or external vendor coordination
Experience creating basic dashboards, CRM automations, or reporting templates
$55/day as an Independent Contractor
